Approve a draft entry

The Accountant reads a document and prepares an entry. Axum records nothing until a person decides. In the console, only an operator, an admin, or an owner can decide. In WhatsApp, any number on the Who can send receipts tab can decide.

  1. Open Accountant in the left rail.
  2. Open the Waiting for you tab.
  3. Select a draft. The card shows the vendor, the amount, and the document type.
  4. If the card shows a Question, answer it first.
  5. Check Will post as, Contact, and Payment.
  6. Choose one of the buttons below.
  • Post writes the entry to Odoo and posts it.
  • Save as draft writes the bill or the payment to Odoo, but does not post it. Your books do not change until a person posts it in Odoo.
  • Discard marks the document as discarded. Axum does not book it.
  • Let me explain sends a note. Axum reads the document again with your note. Axum does not post.

Choose View receipt to see the original photo or PDF.

Axum can send a message with three buttons: Post, Save as draft, and Discard. You can also type a word, such as post, draft, or discard.

A check can add a tag to the draft. A tag asks you to look. It does not decide for you. Some of the tags are:

  • Possible duplicate
  • Missing details
  • Total does not match
  • Lines do not add up
  • Large amount
  • Choose a contact

Axum compares a document with earlier receipts and with Odoo to find a duplicate. If Choose a contact shows, pick the right Odoo contact, search for another, or create a new contact. Axum never adds a contact on its own. Post and Save as draft stay off until you choose.

For a new bill, the card can ask Already paid or Not yet paid. A bill marked Already paid cannot be a draft. Post it, or choose Not yet paid.

  1. Open the Receipt history tab.
  2. Find the row with the status Posted or Draft.
  3. Choose Undo.

Axum cancels the entry in Odoo. The row then shows Reversed. After a post in WhatsApp, Axum can also show an Undo button.

You cannot discard or correct a saved draft in the console. You can undo it.
